Position Title: Concierge

Job Type: Full-time, 1 year contract

Reporting to: Hub Manager

Department:  Hub Services

Location: Artscape Weston Common, with the availability to work at all Artscape locations

Overview/Purpose: The Concierge will provide front of house services, ensuring a safe, welcoming, positive environment for the tenants/owners and visiting community members at Artscape’s community cultural hubs.

Responsibilities:

  • Promote good public relations through courteous, helpful, and professional contact with the tenants, owners and visiting guests
  • Have knowledge and understanding of the hub’s tenant/owner activities, services, and the surrounding community in order to confidently respond to inquiries regarding the buildings and neighbourhoods
  • Provide building tours to a myriad of stakeholders, accurately describing the buildings history, Artscape’s role in its development, along with the current usage of the building, as a community and cultural hub managed by Artscape
  • Support the administrative team with event space bookings, studio checks, A/V set up, contracting, payment processing, key card distribution and client requests
  • Support the team with administrative duties, such as ordering supplies and organizing files
  • Navigate requests, and at times complaints, while keeping a courteous and professional demeanor; Delegate requests, when required, to the appropriate department
  • Available to assist tenants/owners and members with retrieving lost items, keeping the buildings lost and found bins organized
  • Maintain up-to-date promotional print materials at the concierge desk and around the building, including updating info boards and chalk board/digital signage where applicable
  • Maintain a clean, orderly and inviting work station
  • Navigate deliveries to the building, such as mail and packages for the tenant/owner, assisting courier and delivery personnel with wayfinding to the appropriate unit
  • Support the administrative team in coordinating and updating the monthly building calendar and newsletter
  • Perform duties applicable to the security of the building, such as conducting patrols and reporting any suspicious behavior or situations to management
  • Ensure tenant/owners and members of the public are abiding by building rules and policies as outlined in the building manual
  • Complete any incident reports, daily activity reports and communicate with the Artscape office regularly regarding any issues with the building and occupants
  • As a member of the Artscape team, understanding the mandate and aims of programming in the building and Artscape’s mission and mandate, while reflecting these elements in interaction with users and clients everyday

Minimum Requirements/Qualifications:

  • Ability to work weekends and evening hours, schedule will vary
  • Experience working as a concierge and/or security an asset
  • Two-to-three years’ experience in customer service; front of desk
  • Security training and active license an asset
  • Demonstrate interest in Artscape’s mission and value
  • Strong organizational and time management skills that enable you to thrive in a fast-paced environment
  • Impeccable attention to detail fueled by a desire to create efficient administrative and customer service systems
  • Excellent communication and interpersonal skills in order to provide outstanding support to the tenant, owners and members of the public
  • A strong drive to complete tasks
  • Experience using Salesforce an asset
